1. Who we are

This Privacy Policy describes how CODECS S.A. (hereinafter referred to as "CODECS", "we" or "the Company") collects, uses, and protects your personal data when you use the www.codecs.ro website and our services.

We are committed to respecting the privacy of your data in accordance with Regulation (EU) 2016/679 (GDPR) and applicable national legislation.

2. What data we collect

Depending on your interaction with our website, we may collect the following categories of data:

  • Identification data: name, surname, CNP (Personal Identification Number), ID card series and number (these are strictly necessary for issuing ANC accredited diplomas and for study contracts).
  • Contact data: e-mail address, phone number, billing/delivery address.
  • Financial data: information necessary for issuing invoices (in the case of card payments, the data is processed directly and securely by our partner Netopia Payments; CODECS does not store your card details).
  • Technical and navigation data: IP address, browser type, browsing history on our site (collected through cookies).

3. Purposes and legal basis of processing

Your data is processed for the following purposes:

  • Providing educational services (courses, trainings, exams): processing is necessary for the conclusion and performance of the contract between you and CODECS.
  • Issuing diplomas and certifications (including ANC): processing is based on compliance with a legal obligation imposed by the Ministry of Labor and the Ministry of Education.
  • Billing and accounting: processing based on compliance with tax legal obligations.
  • Marketing and Newsletter: we send you offers and news only if you have given your explicit consent (subscribed to the newsletter). You can withdraw your consent at any time.
  • Communication and Support (Chat, Contact Form): based on our legitimate interest to respond to your requests and questions.

4. Who we share your data with

We do not sell or rent your data. To provide our services, we only transmit certain data to:

  • State authorities: (e.g., ANC, relevant ministries, ANAF) according to legal obligations regarding the archiving of diplomas and invoices.
  • Service providers: courier companies (for the delivery of materials/diplomas), online payment processors (Netopia Payments), IT service and web hosting providers.

All our partners are contractually obliged to maintain the security and confidentiality of your data.

5. How long we keep your data

We keep your data only as long as necessary for the mentioned purposes or as required by law:

  • Data related to invoices and financial-accounting documents: 10 years.
  • Data included in the enrollment registers and ANC diploma issuance registers: according to the strict periods provided by current national legislation (can be up to 50 years).
  • Newsletter data: until you unsubscribe.

6. Your rights

Under the GDPR, you have the following rights:

  • Right of access: you can request information about the data we process.
  • Right to rectification: you can request the correction of inaccurate data.
  • Right to erasure ("right to be forgotten"): you can request the deletion of data, unless the law obliges us to keep it (e.g., invoices, diplomas).
  • Right to restriction of processing and portability.
  • Right to object and withdraw consent for marketing communications.
